8 Steps To Creating An Amazing Client Event Experience

Hosting a client appreciation event can be a great way to strengthen relationships with your clients and gain new referrals.

In this article, we'll provide tips on how to plan and execute a successful client appreciation event that will leave a lasting impression on your clients. Not only is this a great way to thank your clients for their business, but it can also help you stay top of mind and build lasting relationships.

1]  Define Your Goals and Budget

The first step in planning a client appreciation event is to define your goals and budget. What do you want to achieve with this event? Do you want to strengthen your relationships with your clients, generate new leads, or simply thank your clients for their business? Once you've defined your goals, you can set a budget that aligns with those goals. Your budget will dictate what kind of event you can plan and how many people you can invite.

PRO TIP:  "Providing Value" for your event audience is key.  Plan your agenda and content well in advance of the event.  Have a couple of trusted sources review your plan, content, resources, and agenda to look for ways to improve or to suggest ideas to plug any "holes" in the setup or in the agenda.

2]  Choose a Theme and Venue

Next, choose a theme for your event that aligns with your goals and resonates with your clients. A fun and unique theme can make your event memorable and enjoyable for your clients. Consider a theme that's relevant to your business or industry, or choose a fun and engaging theme that will get people excited. For example, if you specialize in luxury homes, you could host a champagne and caviar tasting event. If you want to host a family-friendly event, consider a carnival or movie night theme. Once you've chosen a theme, select a venue that fits the theme and can accommodate your guests comfortably. The venue you choose for your event can have a significant impact on its success. Consider the size of the venue, its location, and the type of event you're hosting. Also consider factors like:  parking, accessibility, and amenities when choosing a venue.

PRO TIP:  If you're hosting a small cocktail party, a private room in a restaurant may be the perfect venue. If you're hosting a larger event, such as a barbecue or open house, you may need to consider renting a space or using an outdoor venue.

3]  Plan Your Guest List and Invitations

Your guest list is crucial to the success of your client appreciation event. Make sure to invite clients who are most likely to attend and appreciate the event. You can also consider inviting prospects or other industry professionals to network and build new relationships. Once you've finalized your guest list, send out invitations. Your invitations should reflect the tone and style of your event, and provide all the necessary information, such as the date, time, and location. Consider using a professional graphic designer to create custom invitations that stand out and grab your clients' attention. You can use online tools to track RSVPs and send reminders to your guests.

PRO TIP:  Schedule the event at least a month ahead of time to give your invitees time to block their calendars, well in advance.  People are busy.  They appreciate thoughtful planning.

4]  Prepare Your Event Details

Once you've planned the basics of your event, it's time to focus on the details. This includes things like decorations, catering, entertainment, and any giveaways or swag you plan to provide. Make sure to align your event details with your theme and budget, and choose vendors who can deliver quality service and products.

PRO TIP:  Create a shared space [like a OneDrive or Google Drive folder] to manage and share assets as you plan and execute the event.  Examples of event assets:  promotional calendar, resource handouts, promotional graphics, copy for email and social promotions, etc.  Share this space with those who will be helping to promote & run your event.

5]  Plan Your Activities

The activities you plan for your event should be engaging and memorable for your clients. Consider activities that align with your theme and that will encourage interaction and networking. For example, if you're hosting a cocktail party, you could hire a mixologist to create custom cocktails or have a wine tasting. If you're hosting a family-friendly event, consider activities such as face painting, balloon art, or a photo booth.

PRO TIP:  During the event, be sure you have someone monitoring all of these items as well, so you can focus your attention on higher priority items, during the event.

6]  Promote Your Event

Promoting your event is crucial to its success. Use social media platforms like Facebook, Twitter, and Instagram to promote your event and generate interest. You can also use email marketing to reach out to your client list and invite them to your event.

PRO TIP:  Consider creating a hashtag for your event and encouraging attendees to share their experience on social media.

7]  Execute Your Event with Finesse

The day of your event has finally arrived! Make sure to arrive early at the venue to oversee the setup and ensure everything is in place. Greet your guests warmly as they arrive and make them feel welcome. Throughout the event, make sure to engage with your clients and provide them with an enjoyable experience. Take plenty of photos and share them on social media to generate buzz and show your appreciation.

PRO TIP:  To start engaging conversations, use the F.O.R.D. method to ask your event attendees about their:

  • Family
  • Occupation
  • Recreation
  • Dreams

8]  Follow Up with Your Guests

After the event, it's important to follow up with your guests to thank them for attending and reinforce the relationships you've built. You can send a personal thank you note, call them to check in, or even invite them to another event in the future. Keep the conversation going and continue to provide value to your clients beyond the event.

PRO TIP:  If you have a photographer or videographer documenting the event, be sure to share the event photos and videos with your guests, in your follow up outreach and encourage them to share in their social channels.  Bring up specific conversations you had during the event in 1:1 follow ups that will show your guests that the conversation you had with them was memorable, and that you were listening.  Remind your guests about any upcoming events you may have planned for the future.
